Attaching Holdings Yourself

Directions for attaching your holdings
to Bib records
*Do not attach books from Baker and Taylor,
Follett or Permaboud. If you do, negative barcodes will be created when the
MARC records provided by the vendor are loaded. This process is only
for donated books or books from local vendors.
1. Check to see if there is a good
record in Dynix . Look the item up by title and/or ISBN # to
locate a good record. Do not attach to old TRS 80 records. These
old records stand out because they are all in capital letters.
2. Do not attach to a record unless it matches the item
you have. For example, do not attach a classroom set of
items to a book record or vice versa. A classroom set is a Print
AV item and the other is a book record. If everything else on
an AV record is correct and only a copyright date or edition
is different you can attach to the record and then make note
of the difference in the holdings record. On books, please find
an exact match.
3. To attach an item to your holdings, find a good record.
Type in uhr at the main circ screen, do a .s when it says enter
barcode, and do a search by title and/or ISBN #. If it doesn't
locate anything at your site you should do OL to search other
locations. When you have located a good record select it. On
the holdings update screen choose N for new, and type in or wand
the barcode number. When the holdings record screen comes up,
change the information there to reflect your holding. Be sure
the collection and ITYPE and the secondary agency is correct.
If you're not sure what to put in these areas just put in scrambled
letters and a list of choices will come up. Put in the number
of the correct choice and press enter. When you're sure everything
on the holdings record is correct do F to file and you are all
finished. Put the barcode on the item and request labels from
technical services.

AV -
Fill out a cataloging request
for AV. *Do not put barcodes on av items before
they are cataloged. We will assign barcodes as they are cataloged. Photocopy the front and back of the item and send it
to Central Processing for cataloging. Remember, the photocopies
and all the information on the cataloging request are important.
Don't leave anything out, (including the summary,) and print
ISBN numbers clearly, (this is very important!)
Book -
If it's a book just send the book itself in to central processing.
Baker and Taylor and Permabound Books
Please send all Baker and Taylor and Permabound books in to be processed. Alachua
County has custom Dewey numbers so if your books aren't processed
the Dewey numbers will be wrong. Also, when we upload the MARC
records, they all have to be uploaded as NF and that must be
fixed by cp.
- Follett Books
- If you choose to you don't have to send in F, SC, B, or E Follett books.
Any books not sent in must be checked by you to see that the book is
attached to the correct record. All other books must be
sent in. If you don't want to separate out your books just send
them all in.
