Media Scheduling Instructions
 
  1. Double click on the Media Scheduling icon.
  1. By user ID put in your school's three letter designation.  By password put in your school’s number, (the same one you use Horizon.) By data source, type in horizon, then click on login. The first time you log in go to file, then preferences.  Put 17280 under default reservation period.
  1. When the media scheduling box comes up type in your school’s name by borrower, not a person’s name, and press enter,( example; Norton or Finley, it’s not necessary to put in full school name).  If you book items to individual persons you will not get them.
  1. The school’s name will be filled in automatically or the system will take you to a list from which you will choose the correct name and press enter.
  1. You need to have a calendar in front of you with holidays, etc. marked on it when you are scheduling.  Nine days are booked to allow for two shipping days in front, a four day booking period, and a four day shipping and cleaning period on the end.  Extra days will be added to the nine days booked for holidays and weekends since the truck mail system does not pick up or deliver on these dates.  These do not count in your nine days.
  1. Now, on the left hand side click on new.  The new reservations box will come up.  By needed date put in a date two school days before the teacher actually wants the item in hand.  Put in 8:00 am for time* and then choose your school from the top location box.  The date that the item has to be back at Sivia will appear by default as well as the return time and location but you will probably have to change this.  (The day you will put it in the bag to return it will be four days earlier.)  Put your initials in the operator box.
  1. If you have any special notes you can put it in the notes box. (Although I can’t imagine what you’d want to put there.)
  1. In the item search box put in the title or subject of the item by keyword(s): and then press enter.  (Unfortunately, you can not search by VT numbers.)
  1. An item search results box will come up.  Select the item you want to book then click on OK.
  1. The barcode for bib window will open with information on the item you selected.  Click on view by month and verify that the information is correct.  If you want to change the date requested just click and drag the “proposed” arrows to the date you want to choose.
  1. Click “reserve” and the program saves the reservation and displays the confirmation dialog box.  If you want to add another reservation click on “yes” in the confirmation dialog box. Click no to exit the dialog box and you will come back to the reservations window.
  2. If you need to edit a reservation in the reservations window click the reservation you want to edit and then press “edit”. This brings you to the edit reservations window where you can make any changes you need.  Click on OK when you have made needed changes.
  3. *Reservations may be made up to 90 days in advance.
  4. *Because of packing and shipping time needed the needed date must be two days before the teacher actually wants to use the item.  Items must be returned four days prior to the return date. So, if a teacher wanted to use an item on the 10th you would put in a needed date of the 8th and send it back in truck mail on the 14th.
