SENDING NEW BOOKS
WITHOUT EXISTING MARC RECORDS
TO TECHNICAL SERVICES 

(All books from Follett or Mackin with existing MARC records in Horizon can now be put on the shelves without sending in to technical processing.  However, all schools are now responsible for checking the record of each book before putting it on the shelves.)

Print out a central processing label for box when sending items without MARC records to technical processing. You will also need a contents card.

A. Technical Services will provide the following services:

1. Creation of a  MARC record in Horizon with Dewey Decimal classification and Sears subject headings.

2. Stamping of the school's name on the front and back and inside covers, title page and page 25. Stamp will be in the center, 1/2 inch from the bottom edge. Pictures and writing will not be stamped over.

3. Placement of the barcode label. Creation and placement of the label.  If labels and/or label covers are sent with the books please send them along with your books.

4. Recording of the classification and barcode number on copyright page in top left hand corner.

B. You need not write in or stamp in any of your books unless this is your preference.

C. Do not send in old books.

1. Labels - We will no longer make labels for any books other than the ones we create MARC records for.  Use your computer to create labels at school and cover them with book tape.

D. Prices that are needed for books purchased from vendors other than Follett or Mackin should be submitted.

E. Pack the books in boxes. Do not put more than 50 books in a box. Do not use boxes that are larger than a standard copy paper box. Please pack duplicate titles in the same box. Use paper to fill in empty spaces so books will not be crushed in shipping.  Place a small white envelope addressed TO: TECHNICAL SERVICES; FROM: SCHOOL'S NAME on top of each of the boxes and put your completed content card inside. DO NOT tape content card to the box of books. The content card stays with the books and is used by Technical Services as a work order. Fill out the Contents Card for each box of material. Contents Cards may be obtained by calling IMS. Please indicate on each Contents Card the number of books in each box.

F. Tape label to top of box and place box in truck mail pick up area.  (Boxes not labeled correctly may end up in the "give-away" pile.)

G. When books are returned to the school, an evaluation card (see example below) will be included with each shipment. Please fill out this card and sent it to Technical Services.

H. If there are errors in a shipment that need correcting, please reference the work order number, the processor's name and indicate the needed corrections. Mark "RUSH" on the content card.

I. After checking the books you receive, please fill out an evaluation card and return it to technical services.
