Education District Policies for Supplemental Educational
Services:
It is recommended that all
applicants interested in becoming a state approved SES
provider contact the District SES Coordinator in each
district in which they wish to serve students to obtain
basic information to assist them in applying for state
approval. District Coordinators may wish to complete this
form to provide district policies related to specific
topics.

Facility Management:
1. Can contracted
vendors use district facilities? Answer: Yes.
2. What are the procedures for facility rental? Answer:
Vendors must contact school sites directly. Contract
agreements are between vendors and individual school sites.
3. What is the rental fee? Answer: Facility rental fee is a
minimum of $80 per 3 hours per classroom.
2. Are school facilities available on weekends? School
facilities are available on weekends upon the discretion of
the school principal.
Assessment Data:
1.What types of assessment data will be shared with approved
SES providers?
Answer: FCAT Results, FAIR and Benchmark Assessments
2. Can SES providers use district provided diagnostic data
to develop student learning plans? Answer: Providers must
administer their own diagnostic assessments at the beginning
of the tutoring period.
3. When will student data be available for providers for
this school year? Answer: When students are assigned to
providers they also get all available test data.
4. Are post-assessments required by the contract? Answer:
Yes: Pre and Post-assessments are required in order to
measure student growth during the tutoring period.

Marketing and Outreach:
1. Does the district have
specific policies regarding marketing and outreach for SES?
Answer: Yes. All flyers for companies must be pre-approved
by the district public information officer. Distribution of
SES enrollment applications by providers is strictly
prohibited.

providers employing district employees? Answer: Yes. Please

Expectations and Guidelines for Alachua County School
District Employees Who Are Employed by Supplemental
Educational Services Providers
No employee will campaign, recruit, solicit for, or
otherwise work for the purpose of gaining students for the
provider during hours of employment by the district. This
includes talking to parents about a specific provider and
the provider’s program.
No district employee may represent an SES provider during
parent/student night, school functions at which the employee
is required to attend by the district, or other school
activities.
No employee may have access to student lists, phone numbers,
free/reduced lunch lists, or other student information at
any time to be used for the purpose of recruiting students
for an SES provider. This is a violation of the Family
Educational Rights and Privacy Act (FERPA).
Employees are not to use district materials and supplies,
such as paper, pencils, books, computers, printers, crayons,
etc. for the purpose of administering the SES program.
Employees of SES providers do not have access to copiers,
phones, or other equipment owned, leased or operated by the
Alachua County School District, even if the tutor is a
Alachua County School District employee.
SES providers are required to supply their tutors with all
materials needed to implement and deploy the program
described in the provider’s request for application to the
State of Florida.
Distribution of materials by providers to school staff
requires the permission of the Principal of the school.
Distribution of these materials can only take place before
or after regular school hours.
No teacher or other employee is allowed to tutor any student
who is assigned to that teacher during the regular school
day, unless specific permission has been given by the
district SES office.
Insurance Requirements, Fingerprinting/Background Checks:
Describe the policy
related to the district’s insurance requirements: Proof of
general liability ($1,000,000) Proof of auto liability for
all owned and non-owned vehicles ($1,000,000) Proof of
insurance for Workers’ Compensation * Insurance requirements
are covered in item 17 of the contract. Please note that
coverage must be provided for the term of the contract
Contracts will be approved by the School Board of Alachua
County at the earliest date possible following their return
to the district. Approved and signed copies will be returned
to providers.
Does the district require all provider employees to use the
district’s approved fingerprint and background check vendor?
Answer: Yes. All provider employees must be fingerprinted at
the school district office. What is the cost? $81.25.

Management
1. Does the district hire
school site facilitators for SES? Answer: Yes.
2. Does the district require providers to use specific
software for invoicing, developing student learning plans,
tracking attendance and reporting students? Answer: Yes.

Eligible Students
1. How many students are
eligible to participate in SES in the district? Generally
about 8000 students
2. How many students may participate in SES each year?
Answer: About 800 students
3. How many schools are required to offer SES in the
district? Answer: Title I schools who have not made AYP for
two or more consecutive years are required.
4. District’s Per Pupil Allocation: This $1313.00 per
